Executive Assistant

Guardian Trust is a member of The Trust Company Group and has been serving New Zealanders for generations.  We are one of New Zealand’s foremost trustee companies offering a range wealth management services to personal and corporate clients which include trust and estate management, lifestyle management and philanthropic advice.

We are looking for an Executive Assistant to support the Executive General Manager of Group Operations & Information Systems and two General Managers of the same Group.  All managers have regional responsibilities across Australia, New Zealand and Singapore, therefore this is a busy role and requires a professional person to provide a full range of administrative and clerical support to all three managers.  This includes diary management, compilation of manuals and reports, coordination of travel arrangements, preparation of itineraries, reconciliation of monthly expenses, to name but a few of the tasks.  Your excellent organisational skills, ability to manage competing priorities, lively attention to detail and capacity to meet deadlines will be thoroughly utilised.

Strong relationship management skills are also required as the successful person will be required to liaise with all stakeholders and leaders across the organisation.  Being the hub of the wheel, you will be a critical point of contact for the Group Operations and Information Systems team, therefore you will possess a high sense of integrity and discretion when handling confidential information.

Office Services Assistant  

Guardian Trust has been serving New Zealanders for generations and is a market leader in trust, estates and wealth management. We are one of New Zealand's foremost trustee companies in asset management and protection, providing wide-ranging advice and expertise in areas including estate planning and administration, investments and personal trusts.

We are seeking a flexible, energetic and highly organised person to support the Office Services Team by assisting with the daily administrative and practical requirements of the Auckland Head Office.

You will be involved in the important day-to-day aspects of what constitutes a smooth running office.  This covers such tasks as organisation of incoming and outgoing mail and couriers, ordering of stationery and printing requirements, relief reception duties and ensuring that the kitchen facilities are clean, tidy and well stocked. 

This role requires someone who is adaptable and has well developed computer skills as you move between hands-on tasks and your administrative responsibilities.  You will gain satisfaction from seeing tasks completed from beginning to end and enjoy keeping a good standard of cleanliness around the office.  As this role has contact with a variety of people you will be a confident, friendly and professional communicator.

Trusts, Estates and Philanthropy Services Professional

Trusts, Estates and Philanthropy Services works alongside Guardian Trust’s Personal Client Services teams in providing specialist technical and administrative support that enables Personal Client Services, through its country wide network of offices, to provide first class face to face service to our customers. 

To ensure that we maintain the quality and level of service offered to our customers, we are now looking for two new Trusts, Estates and Philanthropy Services professionals to work within our team.

As part of the Trusts, Estate and Philanthropy Team you will be working within a high performing team providing effective and efficient administrative support services to internal & external clients, your Team Leader and the team.

Your day will be filled with a variety of duties including:

  • Administering new and ongoing estates
  • Drafting wills and enduring powers of attorney against legal documentation standards
  • Drafting trust establishment, gifting and other one off documentation
  • Drafting other estate and trust planning documentation
  • Distribution of assets and legacies to beneficiaries

 

To be successful in this role you will:

  • Have a strong understanding of administrative processes
  • Be self motivated and well organised
  • Have excellent legal drafting and communication skills
  • Be confident in your ability to build strong relationships with internal and external customers
  • Be a fast learner who shows initiative and strong problem solving skills
  • Have a proven ability to work within a team environment
  • Thrive on the challenge of working in an evolving environment

 

You will need a high level of professionalism with a minimum of 2 years experience in estate administration within either a Trustee company or Law firm. You will have excellent computer skills with strong time management and organisational skills.  Experience in Trust and Estate law would be would be especially advantageous.
